The snake draw ensures fairness by reversing the selection order each round. If you pick first in round 1, you pick last in round 2, then first again in round 3, and so on. This prevents any single position from having an advantage.

The 2027 draw is being prepared for fall 2026. Confirm the start date with the administrator. Turn emails are sent when your turn begins; the Draw Board shows the current turn.

There is no time limit, but please respect your colleagues and take no more than 12 hours per turn.

Click the bookmark on any week of the Draw Board (on a phone, tap Add), or use Add a week in My priority weeks on My Weeks. Every week you add is one of your priority weeks: put them in the order you want, and optionally label one Must have or Want and add a private note such as "Traveling, Lisbon". Set Backup to have the draw pick your top open priority weeks if your time runs out, or Autopilot to have it pick as soon as your turn starts. Off keeps them as a wishlist. Only you see your labels and notes; administrators see which weeks you chose and their order. You can also mark a week Avoid as a reminder; the draw only ever picks your priority weeks, so it never picks those.

A welcome email when the draw starts, with the rules, your place in the draw order and your username (the address the email was sent to). A heads-up when you are one or two turns away, an email each time your turn begins, and a reminder when less than an hour is left on it, unless you turn those off on your Account page. A summary of your weeks when the draw ends. Password reset emails only arrive when you ask for one.

Yes, free and without text messages. On your Account page, switch on Notifications on this device and allow them; do this on each phone or computer you use. You will get a notification when the draw starts, when your turn begins, a reminder before your time runs out, and when the draw ends. Android, Windows and Mac work in the browser. On iPhone or iPad (iOS 16.4 or later): in Safari tap Share, then Add to Home Screen; open USAP Draw from the new icon; sign in again (the Home Screen app keeps its own sign-in, separate from Safari); then go to Account and switch notifications on there. Turning them on in Safari does not count.

Only if you allow them on that device; a website cannot override Focus or Do Not Disturb by itself. iPhone or iPad: Settings → Focus → choose a Focus (for example Do Not Disturb or Sleep) → under Allow Notifications, Apps → Add → USAP Draw; repeat for each Focus you use. Android: Settings → Notifications → Do Not Disturb → Apps → add USAP Draw if you installed it, otherwise Chrome (names vary by phone). Mac: System Settings → Focus → choose a Focus → Allowed Notifications → add your browser. Windows: Settings → System → Notifications → Do not disturb → Set priority notifications → Add apps → your browser. Turn notifications are sent as urgent and, on Android and computers, stay on screen until you dismiss them. Your Account page shows the steps for the device you are on.

If your turn is skipped because time ran out, you don't lose the weeks: pick your weeks on the Draw Board as soon as you return, without waiting for the current turn to end. Weeks that fill meanwhile are gone, so if you might be away, add priority weeks on My Weeks and set them to Backup.

Yes, through the split board on My Weeks. Before or during the draw, even before you pick, post a week you will split or a week you would like to share, and the days you have in mind. Splits are finalized after the draw: one of you proposes a split, which divides the Monday-Friday days of two weeks you each hold, and it takes effect when the other physician accepts. Any other change is made by an administrator.

Your allowance is specific to the selected season and appears on Home and the Draw Board. Contact HR if your allowance needs correction before the draw.

Yes. Each turn you select any two available full weeks, and they can be back-to-back.

The draw has no separate blackout rules. Each week's open slots are shown on the Draw Board, and a week with no open slots cannot be selected. Summer (weeks 23-33 in 2027) fills quickly.

Holiday weeks (Spring Break, Memorial Day, July 4th, Thanksgiving, Christmas/New Year) are available but highly sought after. They are distributed through the normal draw process based on selection order.

Click the "Forgot password?" link on the login page. Enter your email address, and you'll receive password reset instructions. If you don't receive the email, check your spam folder or contact the system administrator.

First, try clearing your browser cache and cookies. Ensure you're using a supported browser (Chrome, Firefox, Safari, Edge). If issues persist, contact ryan.davidovich@usap.com for technical support.

Refresh the page first. If the issue persists, log out and log back in. Your selections are saved automatically. If you still have issues, contact support with specifics about what you're seeing.

Yes, the vacation planning system is fully responsive and works on tablets and smartphones. However, for the best experience during the draw, we recommend using a desktop or laptop computer.

An administrator adds everyone to the system; there is no self sign-up. Ask an administrator to add you and they will set up your sign-in. If you are waiting for access before a draw, contact HR at kellye.troope@usap.com.

Yes. On your Account page, choose Edit Profile to change your name or email. Changing your email needs your current password, and your new email becomes how you sign in and where turn notifications go.

New partners joining after the annual draw will have vacation weeks assigned based on availability and practice needs. Contact HR to discuss your vacation allocation and available weeks.

Your access remains active as long as you're an active USAP partner. Access is automatically disabled when partners leave the practice.
