Effective September 29, 2026 | For USAP physicians and staff
By using the USAP Vacation Draw you agree to these terms. The rules for choosing vacation weeks are set out in the Vacation Policy, which is part of these terms.
1. Who May Use the Vacation Draw
USAP physicians who take part in the vacation draw, and the administrators who run it.
USAP physicians may create their own account. A new account can sign in and look around, but it takes no part in a draw until an administrator activates it.
Administrators decide whether an account is activated, which draw it joins, and its vacation allowance.
Administrators may deactivate or retire accounts, for example when a physician leaves the practice.
2. Your Account
Keep your password private and do not share your account.
Keep your name and email current. You can change both on your Account page; changing your email needs your current password, because your email is how you sign in.
Report any access you did not expect to an administrator right away.
3. Taking Part in the Draw
Weeks are chosen in turn, following the draw order, the turn rules and the week limits in the Vacation Policy.
Make your selections when it is your turn. If your turn time runs out, an administrator may skip your turn so the draw can continue.
The Draw Board shows the open slots in each week. A selection is recorded when you confirm it.
You can undo your most recent turn for a short time while it is still your turn, as the policy describes. After that, only an administrator can change a selection.
4. After the Draw
You may propose a split of a selected week with another physician on My Weeks. It takes effect only when they accept.
Any other change to a selected week is made by an administrator.
Administrators may correct selections to fix a mistake or to meet practice needs, and those corrections are recorded in the audit log.
5. Acceptable Use
Do not:
Try to get around the draw order, turn limits or week capacity.
Use scripts or automated tools to make selections.
Share other physicians' personal information from the Vacation Draw.
Try to reach administrator functions you have not been given.
6. Records and Privacy
Selections, turn changes and administrator actions are recorded in an audit log.
How your information is used is described in the Privacy Policy.
7. Availability
We aim to keep the Vacation Draw available, but service may be interrupted for maintenance or by problems outside our control.
If the Vacation Draw is unavailable during a draw, administrators may pause the draw or record selections for you.
8. Breaking These Terms
If these terms are broken, administrators may:
Suspend or deactivate the account.
Skip turns or assign weeks on the physician's behalf.
Refer the matter under practice policy.
9. Limitation of Liability
USAP and the Vacation Draw administrators are not responsible for losses caused by technical problems during a draw, by disagreements over selections, or by changes the practice needs to make.
10. Changes to These Terms
These terms and the Vacation Policy may be updated. The date below shows the latest version. Continuing to use the Vacation Draw after an update means you accept it.
